A Bachelor Degree in Business Administration, Business Management, Human Resources Management, or a similiar field of study is preferred.

Minimum number of years and type of relevant work experience:

A minimum of 3-5 years experience in human resources, purchasing, travel, financial and/or budget development and management preferred. Applicants must have strong communications and orgainizational skills. Supervisor experience is preferred.


Principal duties:

This is a professional position that provides a wide variety of administrative support and management to the Wisconsin IceCube Particle Astrophysics Center (WIPAC), a center within the Office of the Vice Chancellor for Research and Graduate Education (OVCRGE). WIPAC has responsibility for Management and Operations (M&O) of the IceCube Neutrino Observatory, a kilometer-scale astrophysical neutrino detector at the South Pole. The detector consists of more than 5000 optical sensors deployed over one kilometer deep in the Antarctic ice. An international collaboration of scientists from over forty worldwide research institutions collectively participate in a research program to study high-energy neutrinos from cosmic sources. The collaboration uses the IceCube Neutrino Observatory at the National Science Foundation's (NSF) Amundsen-Scott South Pole Station for this research program. UW-Madison's responsibility to the NSF and the IceCube collaboration for IceCube M&O includes supporting a scientific and engineering staff to oversee the daily operations of the detector, maintain centralized computing resources for the collaboration, and manage collaboration-contributed labor and equipment. There are approximately 6 university staff, 33 academic staff, and varying numbers of research associates and graduate students, as well as student hourly workers.

This position reports directly to the WIPAC Center Director and works under his or her general supervision. This position will provide a combination of advice and procedure information to the Director and the Management Team on issues of payroll and benefits, human resources management, budget development and management, facility coordination, and general administrative activities within the unit.

The successful candidate will exercise delegated authority with individual initiative and independent judgment in payroll and human resources, purchasing, travel, and general administrative office functions. The individual in this position will have oversight of and work closely with the Accountant on institutional budget and additionally with the University Grants & Contracts Specialist on other budget and grant management activities. This position functions as the liaison with University administrative units and the VCRGE office. The incumbent will attend all VCRGE and campus meetings related to this role and will be charged with communicating appropriate information to center staff.

The successful candidate must be experienced in the use of computerized software programs such as MS Office Suite, WISDM, and human resources and payroll systems such as HRS, JEMS, CHRIS and PVL.
